EXECUTIVE SECRETARY to Senior Executive Position Summary: As the Executive Secretary to the Senior Executive, you will provide comprehensive secretarial support and executive assistance. This role involves managing intricate schedules, organizing high-level meetings, handling confidential documents, and overseeing personal affairs. Beyond administrative tasks, you will actively contribute to strategic planning and decision-making processes. Key Responsibilities: - Manage communication channels efficiently, including answering calls, responding to emails, and handling correspondence promptly and professionally. - Coordinate the senior executive's schedule, ensuring optimal time management through meeting arrangements and travel coordination. - Prepare high-quality meeting materials such as presentations, reports, and minutes with precision and professionalism. - Organize significant company events to enhance the company's reputation, both internally and externally. - Assist with the senior executive's personal affairs, demonstrating comprehensive care and attention to detail. - Uphold strict confidentiality standards to safeguard sensitive information. Requirements: - University degree preferred, with relevant work experience. - Minimum of 4 years of senior-level secretarial experience, preferably in a large organization. - Proficiency in English and Chinese (Cantonese and Putonghua) for effective communication. - Strong communication and interpersonal skills for collaboration with colleagues and external partners. - Proficient in Microsoft Office applications. - Excellent organizational and time management abilities, with a calm and focused demeanor in a fast-paced environment. - Demonstrates maturity, self-motivation, and the ability to work under pressure. - Exhibits a high level of discretion and responsibility in handling confidential information. - Immediate availability is preferred.
