Receptionist & Office Administrator

Manuela Antonio – Lawyers and Notaries, a prestigious full-service law firm in Macau, is seeking a diligent, professional, and courteous Receptionist & Office Administrator to join our team. This is a vital front-of-house role that ensures the smooth daily operation of our practice and presents the first impression of our firm to clients and professional counterparts.

Position: Receptionist & Office Administrator
Location: Macau (Alameda Dr. Carlos D’Assumpção, Edifício Dynasty Plaza)
Working Hours: Monday to Friday, 9:30 – 19:00 (with a 1.5-hour lunch break between 13:00 – 14:30). This role also requires working on Saturday mornings on a rotational basis (approximately one Saturday every two months).

Key Responsibilities:

Client & Visitor Relations:
  • Professionally greet and attend to all visitors, including high-profile clients and officials attending meetings and deed signings.
  • Manage the reception area, ensuring a tidy and welcoming environment.

Telephone & Communication Management:
  • Answer all incoming calls promptly, courteously, and clearly.
  • Accurately ascertain the caller’s identity, the matter they wish to discuss, and the appropriate lawyer or department to direct them to.
  • Place outgoing calls as requested and maintain a detailed log of all calls.

Document & File Management:
  • Receive, sort, and distribute all incoming mail and courier deliveries.
  • Prepare and dispatch outgoing mail and packages.
  • Create new client and matter files, both physically (setting up paper files) and digitally (entering data into the firm’s system).

Administrative Support:
  • Perform simple office purchases and liaise with vendors for stationery, supplies, and utilities.
  • Provide general administrative support to lawyers and staff as needed.

Ideal Candidate Profile:
  • Courtesy, discretion, and a polished telephone manner.
  • Excellent spoken Cantonese and English; Knowledge of Mandarin; Portuguese is a strong advantage.
  • Attention to detail, organizational skills, and the ability to multitask in a professional environment.
  • Proficient in basic computer applications (MS Office, email).
  • Prior experience in a receptionist, front desk, or administrative role, preferably within a professional services environment (law firm, corporate office, etc.), is highly valued.
  • Reliable, proactive, patient, and possesses a strong sense of responsibility.
