Secretary

Job Description:
Lupi & Associates is seeking a highly organized and proactive Secretary to provide essential support in accounting, finance, and administration. This role is integral to ensuring smooth, efficient office operations and delivering exceptional service to our clients.

Key Responsibilities:

  • Prepare and issue accurate client invoices promptly
  • Manage outgoing correspondence, mail, and courier coordination
  • Filing documents to government department (include Intellectual Property related filing)
  • Schedule meetings and appointments efficiently
  • Provide administrative support, including client liaison and document management
  • Prepare basic accounting reports and assist with bookkeeping
  • Input and maintain financial and client data using Excel templates
  • Ensure all records and documents are accurately filed and up to date
  • Screen and route incoming calls, take detailed messages and respond to general inquiries
  • Deliver additional administrative support as needed

Requirements:

  • Fluent in spoken and written English and Chinese (Mandarin and Cantonese); Portuguese proficiency is a significant advantage
  • Strong knowledge of Microsoft Office tools, especially Excel, Word, and Outlook
  • Prior experience in administrative, accounting, or finance support roles is preferred
  • Exceptional attention to detail and strong organizational skills
  • Proven ability to multitask and meet tight deadlines
  • Strong good communication skills and proactiveness
