Job Description: We are seeking a highly organized, proactive and discreet Executive Office Officer. You will be responsible for providing exceptional support to General Manager, ensuring the smooth operation of the hotel, and driving business growth. Your role will encompass a spectrum of responsibilities from managing communications, coordinating executive meetings, preparing reports, to liaising with internal and external stakeholders on behalf of the General Manager. Responsibilities: - To perform full spectrum of office administration duties efficiently included but not limited to proofreading, translation, contract management and office maintenance. - Assist in drafting documents according to superior's instructions and daily tasks. - Prepare and organize reports, presentations, and documentation for meetings and strategic planning sessions. - Act as a liaison between the General Manager and other departments, ensuring effective communication and coordination of activities. - Completing the tasks assigned by the superior, responsible for organizing all kinds of documents and files management. - Handle incoming and outgoing communications, including regular correspondence, phone calls, email and letter. - Assisting in the preparation of letters, memos, reports, contracts, meeting minutes, etc. - Manage office expenses, ensuring cost-effectiveness and adherence to financial guidelines. - Assist in the preparation of presentations, meeting agendas and meeting minutes, monitor and follow up on action items from meetings to ensure completion in a timely manner. - Ensure Government requirements and legislation are fully complied and all license and updated periodically - Source, monitor, and review vendor services and contracts, while also facilitating office contract/leasing renewals. Support office renovation and relocation projects. - Develop and implement administration policies to ensure compliance with local laws and regulations. - Provide administrative support to the HR, including but not limited to recruitment, onboarding, training, compensation & benefit, employee relations and offboarding etc. - Conduct research, compile data, and produce insightful analyses to support decision-making processes - Anticipate the needs of the General Manager and proactively address them to enhance efficiency and effectiveness - Assist in the development and implementation of hotel policies and procedures. - Maintain confidentiality and discretion in handling sensitive information and matters - Assist in any ad-hoc projects as assigned. Requirements: - Minimum 5 years of relevant work experience, 3 years experience in an executive support role, preferably in the hospitality industry. - Bachelor's degree, preferably in Hotel Management, Business Administration, or a related field. - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), knowledge of Adobe, Photoshop will be an advantage. - Strong written and verbal communication skills in English, Cantonese, and Mandarin. - Strong organizational and multitasking skills, with the ability to manage time effectively in a fast-paced environment, able to work under pressure and meet tight deadlines. - Highly detail-oriented, independent, proactive, self-motivated, with strong sense of responsibility. - Ability to maintain confidentiality, handle sensitive information with discretion and actively responsible to assigned jobs - Macau ID holder only. - Candidates with higher qualifications will be considered for Senior Executive Office Officer role.
