Our client is a leading F&B company in Macau. They are seeking an Executive Assistant to provide high-level executive secretariat and statutory support.
Responsibilities:
Executive support to the Chief Executive (CE): manage the CE's schedule, act as the primary contact, filter incoming communications, draft/proofread correspondence, coordinate with department heads, and process expense reimbursements.
Executive and statutory secretariat support:
Coordinate key internal meetings (AGM/EGM, directors' meetings, executive committee meetings, general management and monthly executive meetings)
Prepare and distribute agendas/resolutions/documents securely and on time
Attend meetings, take accurate minutes, document decisions and action items, and follow up on deliverables
Support information governance (minute book, board resolutions, document retention/destruction)
Government liaison & compliance support: handle filings, licenses, applications, and formal correspondence/complaints; coordinate with legal advisors and government bodies as required.
Corporate governance & records management: maintain a centralised contract repository and ensure timely execution/storage of property/lease contracts.
Company administration support (as needed): support website/social media, coordinate franchisee matters, help plan off-sites/all-hands events, support cross-functional projects, and handle ad hoc tasks assigned by management.
Confidentiality & discretion: manage sensitive matters with professionalism at all times.
Requirements
Bachelor's degree or above in Business Administration, Communications, or a related field.
5+ years' experience in executive support, legal/compliance, or government relations; at least 2 years supporting a board of directors and/or C-suite in a corporate governance environment.
Experience in Macau government liaison is preferred.
Fluency in English, Cantonese, and Mandarin is required.
Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Strong understanding of board-level protocol, minutes-taking, and stakeholder management.
Known for being meticulous, discreet, and able to handle multiple priorities under pressure.
Comfortable working in an office with regular meetings and occasional visits to government offices, outlets, and factories.
