Position Summary The role of Secretary provides all secretarial and administrative supports to the Executive, including daily administration, calendar management, appointment arrangement, travel schedules, handling phone calls, and managing the correspondence for the Executive Primary Responsibility • Organize and coordinate the day-to-day schedule of the Executive, including appointments, meetings, and travel arrangements • Manage and maintain the Executive’s diary and support that the Executive with relevant briefing notes • Handle communication channels and respond to correspondence appropriately on behalf of the Executive • Prepare and distribute internal and external documents, including reports, memos, and letters • Maintain the electronic and paper files of the Executive and ensure they are updated regularly • Handle confidential information with professionalism manner • Communicate effectively with other departments and external stakeholders • Plan and coordinate events and conferences as required • Performs other administrative functions and provides personal assistance support when required by the Executive Requirements • Degree in business administration or relative field • Proven experience as Executive Secretary or similar Personal or Executive Assistant role Strong communication and interpersonal skills to work collaboratively with team members and stakeholders • Solid planning and organizational skills, able to adapt in a fast-paced environment and to provide swiftly response • Ability to maintain a professional manner under pressure and handle confidential information • Good communication in both written and spoken English and Chinese • Proficient with Microsoft Office
